- Guests can request to move their entire stay, until 30 days before check-in. At that time we will not accept date changes further than 7 days past your initial dates except for extenuating circumstances.
- Between 30 and 15 days to check-in, we can still add or subtract nights from your booking as needed but cannot offer any refunds for subtracted nights exceeding half the original booking total, in line with our cancellation policy.
- 14 days or less to check-in, we can still add or subtract nights from your booking but cannot refund any amount for subtracted nights, in line with our cancellation policy.
For Long Term Stay 30 nights or more:
- Guests can request to move their entire stay up until 60 days before check-in.
- 60 or more days to check-in, we can still add or subtract nights from your booking as needed.

Galax Rentals Home and Booking Policies
Number of guest(s)
Change in number of guest(s)/conduct of guest(s): guest(s) agrees that more than the number of people stated on the reservation shall not occupy the premises. Unauthorized people at the vacation rental at any time could result in extra charges for each additional guest, in addition to any and all damage, disturbance, and cleaning charges. The rental is not intended for parties, nor gatherings at any time of anyone except those who have paid to occupy the property. Exceptions are made on an individual basis - please contact Galax Rentals for prior approval. If there is excessive noise or music, any illegal activity, or evidence of violation of these policies, you may be asked to vacate the premise without any refund and additional charges may be assessed. Please inform us of any change in the number of guests before your arrival to avoid these charges and so the cabin can be prepared appropriately for your group. No exceptions or refunds are given for changes in the number of guests after your arrival.
Smoking
Smoking is not permitted in or on any Galax Rentals property. If there is any tobacco smell in the unit after your departure, you will be charged a cleaning fee. Oil lamps and incense are not permitted due to the long-lasting odor. If these policies are violated, there will be a charge for excessive cleaning.
Dog Friendly Homes
Guest(s) must inform Galax Rentals of amount of dogs and may only bring up to the specified amount allowed at that home, along with a paid pet fee per booking. Guest(s) found with pets of any kind at non dog friendly homes will be asked to leave the premises and pay for any and all damages. This includes emotional support animals who are NOT classified under Service animals. Service animals are allowed at all Galax Rentals homes at no extra fee.
HollyDays DBA Galax Rentals Rental Agreement/Terms of Service Agreement
Please read carefully before you begin your vacation.
Please note: The booking of and any money received by Hollydays Rentals LLC dba Galax Management for occupancy of vacation property indicates the acceptance of the terms of our vacation rental agreement and terms of service in full. All policies are strictly enforced. It is the responsibility of all guests and members of their party to be familiar with all policies pertaining to the rental of the home.
Renter requirements
For legal and accounting purposes, the person placing the reservation must be the same as the credit/debit card holder. This person is considered to be the guest. All other persons involved with the rental are considered to be the guest’s invitees, and all discussion regarding reservation, cancellation, and damage policies will be discussed with the guest, not the guest’s invitees.
Payments, Cancellations and Disputes:
Down Payment/Payment
Booking total must be fully paid at least 60 days before check-in unless otherwise agreed upon by HollyDays DBA Galax Rentals. Failure to make payment may result in immediate termination of the rental agreement and cancellation of rental with a forfeiture of any money already paid.
Disputes and Charge-backs
All disputes must 1st be addressed between host and guest. In the event of a fraudulent charge-back, all reprocessing fees and all associated legal fees may be applied.
Cancellation Policies
HollyDays DBA Galax Rentals cannot and will not offer refunds outside of the guests agreed upon cancellation policy, by booking the home the guest agrees to the cancellation policy.
Guests will be held to the cancellation policy they booked with, cancellation policies may differ based upon the booking channel they rent through and or through the amount of nights booked. Guests will be held to the policy of the booking channel they book through.

Arrival and Departure time
Check in is at 4PM on the arrival date. Early arrival may be arranged, pending other reservations and the housekeeping schedule. Please contact us prior to your arrival to make these arrangements. Unless you have specifically arranged for an early arrival time, please do not arrive at the property before your scheduled check in time.
Failure to comply, guests understand that the property may have not finished and passed final inspections, may be missing amenities and or ordered items, and HollyDays DBA Galax Rentals holds the rights to not have to supply these items or refund for any non working amenities due to guests’ early unscheduled entry.
Check out is no later than 10AM on the departure date. Guests prompt departure is appreciated so we can prepare the vacation rental for any incoming guests and allow our housekeepers entry to do their duties. A late departure may be arranged, pending other reservations and the housekeeping schedule. If you have not arranged for a late check out, you may be charged a fee of $50 for each hour beyond 11AM guests are still on property, at a minimum of one hour. If the property has not been vacated by 1PM, a fee equal to the rental rate of one night may be assessed.
Guest Occupancy Limits and Rules of Conduct:
Guests agree that more than the number of people stated on the reservation and within compliance of the home’s occupancy limit shall occupy the property at any time. Unauthorized invitees at the property at any time could result in extra charges per each additional invitee, in addition to any and all damage, disturbance, and cleaning charges. This includes pets.
Please inform us of any change in the number of guests before your arrival or input the maximum number of guests(up to the home’s limit) you may have during your stay to avoid these charges and so the cabin can be prepared appropriately for your group. No exceptions or refunds are given for changes in the number of guests after your arrival.
Parties, Events, Celebrations, Gatherings, etc of any kind:
Hollydays Rentals LLC dba Galax Management properties are in residential areas and may NOT be used for events, weddings, receptions, parties, or gatherings exceeding the properties maximum occupancy.
Exceptions may be made on an individual basis – please contact Hollydays Rentals LLC dba Galax Management for prior approval. If any of the above is held without prior approval, guests may be evicted from the premises without any refunds of any kind and additional charges may be assessed.
Noise Ordinance:
We have a strict noise ordinance that must be followed. No loud noises, music, loud vehicles are allowed between the hours of 10:00 pm and 7:00 am. Please note if these are followed you can be fined and asked to vacate the property. If there is excessive noise or music, or violation of these policies, guests may be evicted from the premises without any refunds of any kind and additional charges may be assessed.
Right of Entry
Hollydays Rentals LLC dba Galax Management and Managements representatives and agents have the right to enter the premises, at any time, (i) for the purpose of making necessary or agreed upon repairs, decorations, alterations, improvements, for maintenance or to supply necessary or agreed services; (ii) to verify that guest has complied with the terms of this Agreement; or (iii) in case of emergency. Hollydays Rentals LLC dba Galax Management and Managements representatives and agents have the right to enter the Premises, upon reasonable notice of at least 24 hours, to show the premises to prospective or actual purchasers, tenants, mortgagees, lenders, appraisers or contractors.
Condition of premises:
Guests shall, on arrival, examine the premises, all furniture, furnishings, appliances, fixtures and landscaping, if any, and shall immediately report, in writing, if any are not in operating condition or are in disrepair. Reporting repairs does not give guests the right to cancel this agreement or receive a refund of any payments made.
Emergencies/Maintenance
If there are concerns or issues with your rental property, please immediately contact 828-526-6346 (leave a message if there is no answer). No refunds or considerations are given unless we are notified of problems during your stay.
Damage policies and waiver:
As a condition to the rental of all vacation properties, Hollydays Rentals LLC dba Galax Management reserves the right to charge the guest’s credit card for any and all uncovered guest/invitee caused losses and damages sustained to the vacation property throughout the duration of their period of occupancy not covered by the homes damage waiver(up to $1,500/$3,000 depending on property and waiver). In the event of any uncovered guest/invitee-caused loss or damage to the vacation property, including, but not limited to, undue cleaning, eviction, service calls, service charges, fines/assessments, repairs or replacements, plus all applicable taxes, Hollydays Rentals LLC dba Galax Management is hereby granted the right to charge the guest’s credit card. By renting a Hollydays Rentals LLC dba Galax Management property the guest hereby agrees to pay for all such charges, as defined above, below and on the proceeding pages.
System Failures:
In the event the rental unit sustains a failure of a system, including but not limited to water, sewer, septic, electrical, gas, plumbing, mechanical, appliances, heat pump, ventilating, pool, hot tub or other system or structural systems, neither the property owner nor Hollydays Rentals LLC dba Galax Management shall be liable to guest for damages, and no refunds will be given for such failures. However, Hollydays Rentals LLC dba Galax Management will make every effort to promptly repair or replace the failed system or equipment, and in such an event, the guest agrees to permit Hollydays Rentals LLC dba Galax Management or required service provider(s) reasonable access to the property to inspect and make needed repairs. Failure to comply and allow for service, Hollydays Rentals LLC dba Galax Management guests waive the right for any refunds/compensation for any issue. Please note due to our location in the mountains it is reasonable to have difficulty to get immediate repair responses from such vendors.
Smoking
Smoking is not permitted in or on any Hollydays Rentals LLC dba Galax Management property. If there is any tobacco smell or damage in the unit after your departure, you will be charged an extensive cleaning fee and the full amount of any professional cleaning/repairs needed. Oil lamps and incense are not permitted due to the long-lasting odor.
Plumbing
Do not put anything but toilet paper products in the toilet, this includes but is not limited to feminine hygiene products, baby or toilet wipes and paper towels. Plungers are provided if a clog occurs, if you are unable to find one please contact us. Guests agree to never pour any damaging substances down sinks or drains such as grease or oil.
Lost or Left Items:
Management assumes no responsibility for lost, stolen or abandoned items. Reasonable effort will be made to contact the guest for return of items if found. There will be a $25.00 handling charge plus shipping costs for any found items returned at guest’s request. Management shall not be held liable for the condition of said items. Any items not claimed after 30 days to the guests check-out date, may be donated or sold at Hollydays Rentals LLC dba Galax Management discretion.
Mail Services:
Guests may ship directly to the rented property using Fedex or UPS while in the home, however we can not guarantee delivery or security of the package. This will be up to the shipping client and the shipping receiver to arrange. **We are not responsible for any lost, damaged or delayed deliveries. Returning late deliveries after a guest has left will incur a $25.00 handling charge, plus cost of shipping.
Illegal Substances and Medication:
No illegal substances are allowed in the rental, and minors should not be in possession of alcohol. Violations will result in eviction from the property and no refunds will be issued. Hollydays Rentals LLC dba Galax Management cannot legally ship any kind of medication.
TV/CABLE/INTERNET/SATELLITE:
No refund shall be given for number of devices, outages, content, or lack of content or personal preferences with regard to cable/internet/satellite service. Services are provided as a convenience only, and are not integral to this agreement. No refund shall be given for outages, content, lack of content, speed, access problems, lack of knowledge of use, or personal preferences with regard to service.
Air Conditioning/Heating:
If so equipped, and if not regulated otherwise, guests agree doors and windows shall be closed when either heat or air conditioning is in operation. There are no refunds for lack of, or malfunctioning HVAC units.
Pool and Spa:
If so equipped, spa heating is included. Pool heating, unless solar equipped, is an additional fee and must be paid for prior to use. The guest agrees not to tamper with pool heat controls or manipulate the heater in any way. Pool heat shall not exceed 86 degrees. Guests understand that the area surrounding any pool and spa may not be fenced or secure. The guest understands and agrees to be responsible and liable for any damages that occur to the pool and spa and its support equipment or for injuries to guests or their invitees through guest misuse and/or negligence.
Weather, Unforeseen Occurrences, Acts of God, Off Property Disturbances:
Hollydays Rentals LLC dba Galax Management will not assume liability for any loss nor be held responsible for any loss, damage or inconvenience caused by, but not limited to, the following: weather conditions, natural disasters, pests, construction, acts of God, or other reasons beyond its control. There shall be no refunds available as such instances are beyond the control of Management. It is highly recommended that guests consider travel and/or rental insurance.
Hollydays Rentals LLC dba Galax Management will not assume liability for any loss nor be held responsible for circumstances beyond our control. This includes excessive noise from construction or public/private events, wildfire/smoke, weather related interruptions, road closures, snow, lack of snow, frozen pipes, interruption of services and utilities or unexpected appliance breakdown.
Pets:
Pets are NOT allowed at any Hollydays Rentals LLC dba Galax Management property unless explicitly agreed upon with a Hollydays Rentals LLC dba Galax Management staff member and within pet occupancy limit. At this time, only dogs are allowed. If an unauthorized pet is discovered on property premises, guests may be evicted from the premises without any refunds of any kind and additional charges may be assessed.
Security & safety risks
Guests agree to always lock doors and windows when leaving the premises of a property. When you rent a property, you assume responsibility for it and its contents, as well as guests own personal property. Hollydays Rentals LLC dba Galax Management does not assume any responsibility for injuries resulting from failure to use due caution and abide by the above. Children must be supervised at all times. Candles are not allowed due to fire hazard except citronella candles in buckets outside or supplied emergency candles in case of power outage.
Security Surveillance
Homeowners have rights to have cameras and or decibel monitors on property. Cameras can be placed at the homeowners discretion but not in or facing towards personal/private areas such as bedrooms, bathrooms, powder rooms, closets, changing rooms, pools or hot tubs. Guests have full rights to request where cameras and decibel monitors are placed. Guests do not have the right to move, cover, unplug or otherwise disturb cameras or decibel monitors in any way that may prevent these items from their duties. Failure to comply may result in guests being evicted from the premises without any refund.
When guests book through Hollydays Rentals LLC dba Galax Management or through other booking websites Hollydays Rentals LLC dba Galax Management hosts their inventory through, they agree to the above terms.
Entire Contract:
Time is of the essence. All prior agreements between Owner and Guest are incorporated in this Agreement, which constitutes the entire contract. It is intended as a final expression of the parties` agreement, and may not be contradicted by evidence of any prior agreement or contemporaneous oral agreement. The parties further intend that this Agreement constitutes the complete and exclusive statement of its terms, and that no extrinsic evidence whatsoever may be introduced in any judicial or other proceeding, if any, involving this Agreement. Any provision of this Agreement that is held to be invalid shall not affect the validity or enforceability of any other provision in this Agreement. The waiver of any breach shall not be construed as a continuing waiver of the same or any subsequent breach.
Release:
In consideration of the right to visit the home, Guest agrees to release to the fullest extent allowed by law, Owner and its Management, members, officers, associates, employees, agents, representatives, attorneys, assigns, and affiliates (collectively, the Affiliates) from all liability or responsibility of any kind whatsoever for any personal injury, death, property damage or other loss sustained by me, my minor children, any guest identified on this form, or any guest or person allowed onto the property during my rental dates as a result of my, my childrens or the guests participation in a visit to the home, due to any cause whatsoever, including without limitation negligence on the part of Owner or Management. I understand that this release will bind my heirs, administrators, executors, and any other person or entity seeking to claim under or through me.
Indemnification & hold harmless
While Hollydays Rentals LLC dba Galax Management and its property owners strive to maintain vacation properties in the finest condition, no guarantees are expressed nor implied regarding suitability or for any particular purpose. All guest(s) and their invitees use the vacation property structures and premises at their own risk. Hollydays Rentals LLC dba Galax Management and its property owners shall not be held liable or otherwise responsible in any way for injury to any guest and/or their invitees that is caused or permitted to be caused by the intentional or unintentional acts of said guest(s) and/or invitees, or by the failure of structures, appliances, (including hot tubs and BBQs) furnishings, and/or other equipment, whether by malfunction, misuse, acts of god/nature, and/or are otherwise naturally occurring. No guarantees are expressed nor implied as to the suitability of utilities and other services provided to the vacation properties and adjacent structures and premises. No guarantees are expressed nor implied regarding the suitability/compatibility of materials utilized in the construction of the vacation property and/or its contents. Hollydays Rentals LLC dba Galax Management and its property owners shall not be held liable nor otherwise responsible in any way for allergic reactions to guest(s) or invitees, caused or permitted to be caused by materials utilized in the manufacture of the vacation property and/or its contents, nor from mold and/or airborne spores, nor from pet/animal allergens, nor from chemical agents including, but not limited to appliances, linens, carpeting, utensils, fixtures, hot tubs, and/or other equipment. By written or electronic endorsement of this agreement, guest(s) and invitees hereby agree to forever hold-harmless and indemnify Hollydays Rentals LLC dba Galax Management and its property owners from and against all claims, demands, loss, liability/responsibility of any kind and character, including cost of defense, arising out of or in any way connected with the guest(s) use of the property.
